To promote technological advancement among public officers, the Government of Ghana, in partnership with E-Solutions Ghana, organized a one-day training program on the Smart Workplace (SWP) platform on the 12th of October, 2025 at the Assembly Hall. The session aimed to develop effective e-strategies, digital solutions, and modern work practices to enhance productivity.
E-Solutions Ghana, a business and IT consulting firm established in 2009, specializes in building software for smart working environments and introducing innovative digital solutions to improve organizational performance and growth. The training brought together officials from the Local Government Head Office, Heads of Department, ERCC, and other institutions, as well as officers from the Assembly.
In her opening remarks, the Municipal Chief Director, Madam Lydia Akuettey, emphasized the importance of the training in today’s technology-driven work environment. She noted that the initiative would help reduce the Assembly’s expenditure on stationery and streamline administrative processes, making operations faster and more cost-effective. She urged participants to apply it in their service delivrery.
A representative from the Head Office highlighted that the SWP system would enable timely submission of official reports to both the Head Office and the ERCC. He added that the Government had procured a licensed corporate email system with one terabyte of storage to handle large workloads and promote digital communication. He encouraged participants to take advantage of the platform’s technological benefits to enhance work efficiency.
The consultant from E- Solutions, explained that the Smart Workplace is a virtual office platform that facilitates hybrid work, simplifies access to information, and allows efficient document tracking. He assured participants that the introduction of Artificial Intelligence (AI) would not make civil servants redundant but would instead enhance their productivity and efficiency.The system, he noted, would eliminate the traditional practice of physically moving documents between offices.
He further outlined the main objectives of the training, stating that the SWP promotes a paperless office to improve workflow efficiency and reduce government expenditure on transportation and allowances.
The platform also enables remote work and can be accessed securely across multiple devices—including mobile phones, laptops, and tablets. He advised participants to change their passwords every two months to strengthen security and called for teamwork to ensure the successful implementation of the system.
For the Smart Workplace to function effectively, he explained that five key applications—Power App, Purple Diamond, Microsoft OneDrive, Microsoft Outlook, and Microsoft Teams must be downloaded and accessed using the corporate email account.
During the practical session, participants were guided through the process of logging into the SWP via a browser to perform various tasks such as submitting reports to the Head Office and ERCC, processing memos, applying for leave, checking HR leave rosters, organizing live meetings, and managing correspondence electronically. The system is designed to meet the operational needs of government institutions and align with 21st-century IT and AI standards.
Participants later practiced using the platform and raised questions that were duly addressed by the facilitators.
In her closing remarks, Madam Akuettey expressed appreciation for the participants’ attentiveness and enthusiasm to embrace digital transformation, noting that such initiatives mark a significant step toward building a modern, efficient, and technology-driven public service.
